- You lose customers who wanted to book at 9pm and you were closed
- No-shows are eating into a full diary
- You can't easily see or manage your availability
- You want deposits or payment upfront but handle it manually
If two or more of those ring true, an online booking system will likely pay for itself quickly.
The three routes
Off-the-shelf tools. Calendly, Acuity, and sector-specific tools. Cheap and fast to start. The trade-offs: monthly fees, limited control, and your customers bounced to someone else's branded page.
Built into your website. A booking flow integrated into your own site, so customers never leave. Better experience, keeps you in control. This is what most established businesses actually want.
Fully custom. For unusual booking logic — multi-resource, complex availability, memberships, tightly tied to how you operate. More upfront, but it fits your business exactly.

- Automated reminders (the single biggest lever on no-shows)

How to choose
- Just starting, simple needs, tight budget? An off-the-shelf tool is fine.
- Established, want it on your own site and brand? Built-in is the sweet spot.
- Unusual logic or booking is your business? Custom.
